Adding Journal Entries Using Prompts

Learn how to add journal entries quickly and easily using simple natural language prompts with Adam.

Adam, the platform's AI accountant, simplifies the process of creating manual journal entries by allowing the entry to be described in plain language. Instead of filling out a form or importing excel, a clear written prompt is enough for Adam to generate the entry.

Step-by-Step Guide

Follow these steps to add a manual journal entry using a prompt:

  1. From the top navigation bar, click More.

  2. From the dropdown, select Manual Journals.

  3. On the Manual Journals page, click Create Manual Journals at the top right.

  4. From the dropdown, select Ask Adam.

  5. Enter the Journal Description A modal appears asking for a description of the journal entry. The details are entered in a clear, natural language format.
    Example Prompt: "Create a journal entry on May 1st this year for ₦200,000 payment to vendor ABC with description 'Office supplies purchase'."

  6. The prompt can be as detailed or as brief as needed. Adam recognizes a wide range of instructions, including dates, amounts, contacts, and descriptions.

  7. Send the Prompt After entering the description, click Submit.

  8. Adam Processes the Prompt Adam analyzes the prompt, interprets the request, and automatically creates the journal entry with all relevant details.

  9. Check the Manual Journal Table Once the prompt is processed, the new entry appears in the Manual Journal table, showing the entry number, date, total amount, contact, title, and other details as specified. The record can be reviewed and edited as needed to ensure accuracy.
