Tyms Task Management: How Approvers Handle Requests Efficiently

A step-by-step guide for approvers on managing approval tasks in Tyms

Once an approval workflow has been set up and a transaction matches its conditions, assigned approvers are notified and prompted to take action. This guide explains how approval tasks are received, managed, and resolved by approvers in Tyms.

Notifications and Task Visibility

Approvers are alerted when a transaction requires their attention in two ways:

Notifications icon: In the top-right corner, next to the settings icon, you'll see your profile icon. A red dot on it indicates you have a task awaiting approval. Click the profile icon, then select Approval Workflow from the menu. This opens the Approvals page, which contains two tabs: My Tasks and My Requests.

My Tasks tab: Transactions needing your approval appear here in a table with the following columns:

  • Title: The title of the record

  • Module: The type of transaction (e.g., Income, Expenses, Bills)

  • Submitted by: Who raised the transaction

  • Created: The date the transaction was created

  • Status: Pending or Approved

  • Actions: View details, Approve, or Reject

You can filter transactions by status (pending/approved), module, or date range, and search by title or narration.

Example Scenario

Suppose an approval workflow is configured with the condition "Amount less than $50,000." If a team member submits an expense of $45,000, the workflow is triggered. The designated approvers will:

  1. Receive a notification via the notification icon

  2. See the transaction listed in their My Tasks table

From there, they can:

  • Approve: finalize and approve the transaction

  • Reject: decline the transaction (a comment is required)

Approvers can also leave comments when previewing a transaction to provide additional context or clarification. Comments are mandatory when rejecting, to provide clarity and justification.

My Requests Tab

The My Requests tab lets initiators monitor the status and progress of their submitted transactions, showing how each request is moving through the assigned approvers. Columns include:

  • Title: The title of the transaction (e.g., Transportation Expenses)

  • Created: Date the transaction was created

  • Module: Where the transaction was created (e.g., Expenses, Sales)

  • Approvers: Team members assigned to approve the transaction

  • Status: Pending, Approved, or Rejected

  • Action: Preview transaction details

What Happens After an Action Is Taken?

  • Approved transactions move out of the approver's task list and are marked as approved.

  • Rejected transactions must include a reason and revert to draft. The initiator can then edit and resubmit for approval, or delete the transaction entirely.

Why Pending or Approved Transactions Cannot Be Deleted

This restriction ensures a reliable audit trail and maintains accountability. To modify such a transaction:

  • Before approval: Reject it, then edit and resubmit.

Changing Approvers While a Transaction Is Pending

If an approval rule is modified while a transaction is still pending:

  • If already approved: New approvers will not receive the task. Their Approvers Task tab will show "No records found," indicating the task was processed before they were assigned.

All future transactions will follow the updated approval workflow.

Important Notes

Previewing transactions, Approvers can:

  • View transaction details

  • Add comments

  • Approve or reject (comment required for rejection)

Removing approvers: You cannot remove an approver from a transaction while their status is still pending. They must first approve or reject, to maintain process integrity and avoid broken approval chains.
