How to Manually Import your Journal on Tyms

Learn how to upload bulk Journal Entries using the Tyms Excel template.

This guide covers importing journal entry records in bulk using the official Tyms Excel template: downloading the template, preparing journal entry data, uploading the file, and reviewing the imported records before completing the import.

Step 1: Start the Import

  1. From the top navigation bar, click More.

  2. From the dropdown menu, select Manual Journals.

  3. On the Manual Journals dashboard, click Create Manual Journals.

  4. From the dropdown options, select Import Excel.

This opens the Import Journal from Excel window.

Step 2: Download the Template

  1. Click Download template (XLSX) to save the official Tyms journal import template to your device.

File requirements:

  • Supported formats: CSV, XLS, XLSX

  • Maximum file size: 20 MB

  • Maximum rows: 500 rows per batch upload

Step 3: Complete the Template

Open the downloaded file and fill in the Sample Data sheet, following the formatting rules below. One row = one journal line. Use the Column Guide sheet inside the file for detailed definitions.

Note: Ensure each entry is accurate before uploading, incorrect formatting or mismatched account names can cause import errors.

Required fields:

  • journal_no (Journal number): Same number on all lines of one journal entry. Example: JE-001

  • date (Date): When the transaction happened. Example: 2025-01-20

  • account (Account): Category account from your chart of accounts. Use the account name or account code, it must exactly match an existing account. If the account is new, also provide account_type and account_sub_type. Example: Accrued Expenses

  • debit_amount (Debit): Debit amount for this line. Use 0 if the line is credit-only. Example: 0

  • credit_amount (Credit): Credit amount for this line. Use 0 if the line is debit-only. Example: 10000

  • journal_title (Journal title): Short description of the journal entry. Example: Accrued expense adjustment

  • currency (Currency): Three-letter currency code. Example: USD

  • exchange_rate (Exchange rate): Rate to your business currency. Use 1 if the currency matches your business currency.

Optional fields:

  • item_description (Line description): Detail specific to this journal line. Example: Reverse accrual

  • journal_group_ref (Journal group): Reference to an existing journal group, if used. Example: ADJ-2025-01

  • branch_name (Branch): Must exactly match a branch name in Tyms. Leave blank to use your assigned branch automatically. Example: HQ

  • project_name (Project): Must exactly match a project name in Tyms. Example: Operations

  • department_name (Department): Must exactly match a department name in Tyms. Example: Finance

  • contact_name (Contact): Customer or vendor name. If it doesn't exist, Tyms will create it. Example: Acme Corp

  • account_type (Account type): Only needed when creating a new account. Choose a type from the Account Types sheet. Example: Expenses

  • account_sub_type (Account sub type): Used together with account_type when creating a new account. Must match the Account Types sheet. Example: Other expenses

  • account_code (Account code): GL account number/code. Leave blank and Tyms will assign the next available code. Example: 51001

  • account_number (Bank account number): Only for Bank sub-type rows.

Step 4: Upload the File

  1. Return to the Import Journal from Excel window.

  2. Under the file upload field, click Select file, or drag and drop your completed template into the upload area.

  3. Click Analyze. Tyms will validate your file, mapping columns and checking your data against required parameters.

Step 5: Review and Confirm

On the Review and Confirm Import page, you'll see:

  • The number of AI credits the import will consume.

  • The journal entry records extracted from your spreadsheet.

  • Mapped journal information, including linked line items and associated accounts.

  • Any validation errors, highlighted entries that need correction before you can proceed.

Review all mapped fields carefully to confirm accounting alignment, then click Import at the bottom right to complete the process.
