This guide covers importing fixed asset records in bulk using the official Tyms Excel template: downloading the template, preparing fixed asset data, uploading the file, and reviewing the imported records before completing the import.
Ways to Import Bulk Fixed Assets
Tyms provides two ways to import fixed asset records in bulk.
Option 1: Import with Ask Adam
For users migrating from another accounting system, or who already have asset records in Excel, CSV, PDF, or image format, Ask Adam can interpret the file, extract the records, and populate the Fixed Assets table for review before importing.Option 2: Import Using the Excel Template
This guide covers this option.
Step 1: Navigate to the Fixed Assets Page
Log in to your Tyms account.
From the top navigation bar, click More.
Select Fixed Assets from the dropdown menu. This opens your Fixed Assets management dashboard.
Step 2: Open the Import Window
Click the Create Fixed Assets button in the upper right.
Select Import Excel from the dropdown options.
The Import Fixed Assets from Excel window will open.
Step 3: Download the Template
Click Download template (XLSX) to save the official Tyms fixed assets template to your local device.
Supported file formats: CSV, XLS, XLSX
Maximum file size: 20 MB
Maximum rows: 500 rows per batch upload
Step 4: Complete the Template
Open the downloaded file. Fill in the Sample Data sheet using the strict formatting rules outlined below. One row must represent exactly one asset. You can use the Column Guide sheet inside the file to check detailed definitions.
Required Fields
Name: Display name for the item or asset.. Example: Delivery Van
Date: The date the asset purchase transaction occurred. Example: 2025-01-05
Amount: The total purchase cost of the fixed asset. Example: 5,000,000
Period: The depreciation period unit. Example: Monthly, Yearly
Duration: The useful life of the asset, in months. Example: 60
Chart of Account: The fixed asset account from your Chart of Accounts. This must exactly match an existing account name or account code in Tyms. Example: Motor Vehicles, Office equipments
Depreciation Account: The expense account used to record depreciation. This must exactly match an existing account name or account code in Tyms. Example: Depreciation Expense
Accumulated Depreciation Account: The contra-asset account used to accumulate depreciation. This must exactly match an existing account name or account code in Tyms. Example: Accumulated Depreciation
Salvage Value: The estimated residual value of the asset at the end of its useful life. Example: 500,000
Depreciation Method: The depreciation method to apply. Use the exact value supported by Tyms, such as straight_line or declining_balance. Example: straight_line
Currency: The three-letter currency code for the asset. Example: USD, NGN, EUR
Exchange Rate: The exchange rate to your business's base currency. Use 1 if the asset is recorded in the base currency. Example: 1
Amount Paid: The amount paid upfront for the asset purchase. Example: 5,000,000
Optional Fields
payment_account: Bank or cash account used for payment. Must exactly match an account name or code in the Chart of Accounts (e.g., Business Bank).
branch_name: Branch name exactly as set up in Tyms (e.g., HQ). Leave blank to use your automatically assigned branch.
department_name: Department to assign this asset record to (e.g., Logistics). Must exactly match a department name in Tyms.
employee_name: Employee linked to this asset record (e.g., Fleet Manager). Must exactly match an employee name in Tyms.
vendor: Supplier you purchased the asset from (e.g., Auto Dealer Ltd). Must match a contact name or Tyms will create one automatically.
Step 5: Upload the File
Return to the Import Fixed Assets from Excel window on your dashboard.
Under the file upload field, click Select file, or drag and drop your completed spreadsheet template directly into the designated area.
Click Analyze. Tyms will validate your file configuration, mapping columns and verifying your parameters.
Step 6: Review and Confirm
The Review and Confirm Import page will display:
The exact number of AI credits the import process will consume.
The fixed asset records extracted from the spreadsheet.
Mapped vendor information, linked line items, and associated accounts.
Any validation errors (highlighted entries that require correction before completing the action).
Review all mapped data fields carefully to ensure perfect accounting alignment, then click Import at the bottom right corner to complete the asset onboarding process.
