This guide covers importing income records in bulk using the official Tyms Excel template: downloading the template, preparing income data, uploading the file, and reviewing the imported records before completing the import.
Ways to Import Bulk Income
Tyms provides two ways to import income records in bulk.
Option 1: Import with Ask Adam
For users migrating from another accounting system, or who already have income records in Excel, CSV, PDF, or image format, Ask Adam can interpret the file, extract the income records, and populate the Income table for review before importing. This guide covers this option.
Step 1: Navigate to the Income Page
Log in to the Tyms account.
From the top navigation bar, click More.
Hover over Revenue.
Select Income.
This opens the Income page.
Step 2: Open the Import Window
Click Create Income.
Select Import Excel from the dropdown.
The Import Income from Excel window opens.
Step 3: Download the Template
Click Download template (XLSX) to download the official Tyms Excel template, then open the downloaded file and enter income records using the required format.
Supported file formats: CSV, XLS, XLSX
Maximum file size: 20 MB
Maximum rows: 500
Step 4: Complete the Template
Income records must be entered under the correct columns.
Required fields
date: Date the income was received or recorded. Example: 2025-01-10
item_name: Description of the income item. Example: Consulting Service
item_price: Unit price. Example: 15,000
item_quantity: Quantity. Example: 2
category: Income account from the Chart of Accounts; must exactly match an existing account name or account code. Example: Service Revenue
currency: three-letter currency code. Example: NGN, USD
Note: unlike invoice imports, the Amount Paid column is not required when importing income records, and should be omitted from the template.
Optional fields
Description, Document Number, Flow (Inflow/Outflow), Contact Name, Contact Email, Contact Phone, Payment Type, Payment Account, Shipping Fee, Discount, Project Name, Client Name, Tax, Withholding Tax (WHT), Branch, Department, Employee, Memo, Exchange Rate, Prepayment, Prepayment Duration, Prepayment Account.
Important
Category and Payment Account must exactly match an account name or account code in the Chart of Accounts.
Contact Name, Project, Branch, Department, and Employee must match existing records in Tyms.
If a contact does not already exist, Tyms creates it automatically.
Prepayment income
For income that should be recognized over a period of time (deferred income), complete the prepayment fields as follows:
Set Prepayment to Yes.
Enter the number of months in the Prepayment Duration column.
Specify the appropriate Prepayment Account (Deferred Revenue account).
For income treated as a normal receipt, leave the Prepayment, Prepayment Duration, and Prepayment Account columns blank.
Example: a monthly subscription paid for one year in advance → Prepayment = Yes, Prepayment Duration = 12. A one-time cash sale → leave the prepayment fields blank.
Step 5: Upload the File
Return to the Import Income from Excel window.
Select the income type: Sales Receipt or Prepaid Income.
Under File, click Select file, or drag and drop the completed spreadsheet.
Click Analyze.
Tyms validates the file and prepares it for import.
Step 6: Review and Confirm
The Review and Confirm Import page displays:
the number of AI credits the import will consume
the income records extracted from the spreadsheet
contact information
line items
payment details
any validation errors requiring correction before importing
Review the information carefully to ensure accuracy, then click Import at the bottom right to complete the import.
Note: rows sharing the same Document Number are grouped into a single income record with multiple line items. If no Document Number is provided, each row is imported as a separate income record.
