How to Import Multiple Journal Entries

Learn how to upload multiple journal entries at once with Adam’s assistance.

If migrating records from another system or logging bulk transactions, Adam, the platform's AI accountant, can help upload multiple journal entries in one go. Whether the file is in image, PDF, Excel, or CSV format, Adam analyzes the content and populates the Manual Journal table automatically.

Step-by-Step Guide

1. Prepare the File

  • Before uploading, ensure the file includes the necessary details, such as journal entry dates, amounts, accounts, descriptions, and other relevant details.

  • The file can be in any of the following formats:

    • Image (JPG, PNG)

    • PDF

    • Excel (.xlsx/.xls)

    • CSV

  • Ensure the content is well-organized using tables or listed bullet points.

2. Open the Prompt Area

  • Navigate to the Manual Journal table.

  • Click the Create Manual Journals dropdown in the top-right corner of the page, then select Ask Adam to open the prompt window.

3. Attach the File

  • In the prompt modal, click the Attach file icon next to the message box.

  • Select and upload the file containing the journal entry records.

4. Write a Short Instruction

  • In the prompt box, type a brief message so Adam understands the request.

    • Example: "Upload these journal entries."

5. Observe Upload Limits To ensure smooth processing:

  • Limit each file to 20,000 characters (approximately 150 journal entries).

  • For PDF files, keep them under 10 pages.

  • If the file is larger, split and upload it in smaller chunks.

6. Let Adam Process the Upload

  • Click Submit to begin.

  • Important: Processing may take a few minutes depending on file size. The page should not be refreshed or closed while the file is processing.

7. Review the Results

  • Once the upload is complete, the journal entries appear in the Manual Journal table.

  • Review the imported data for accuracy.

  • Any line can be edited or deleted manually if needed.
