How to Edit a Journal Entry

Learn how to update journal details on Adam

Sometimes you need to fix a mistake or update information in an existing journal entry. Every field in the Journal Table can be edited by selecting it and making your updates. However, to modify the actual entry lines (e.g., accounts, amounts, debit/credit), follow the steps below:

Steps to Edit a Journal Entry:

To manage or edit the specific debit and credit accounts associated with a journal entry:

  1. Open the Entry Details:

    • Click directly on the Total Amount cell of the journal, or

    • Click the View link in the Entries column on the far right.

    • This will open the journal details in a modal window.

  2. Modify the Line Items: Inside the modal, you can:

    • Update the Account: Select a different account from the dropdown.

    • Adjust Amounts: Edit the value in the debit or credit fields.

    • Manage Rows: Use the icon to insert a new line item, or the icon to remove a line item from the entry.

  3. Verify the Balance: At the bottom of the modal, a live indicator displays the running totals for both sides (e.g., DR: $1,500.00 | CR: $1,500.00) alongside a status tag indicating whether the entry is Balanced or Unbalanced.

    ⚠️ Important Rule Debit and credit amounts must be equal for the journal to save. If the journal is unbalanced, the Save button will remain disabled until the difference is corrected.

  4. Save Your Changes: Once the journal is balanced, click Save at the bottom of the modal. Your changes will update immediately in the Manual Journals table.

📘 Note on Financial Impact Editing a published or posted journal entry may alter your financial reports. Always review the impact of these changes on your general ledger and affected accounts.
