How to Edit and Manage Purchase Orders

Managing Purchase Orders: Edit, Record Payments, Download, Duplicate, and Delete

Sometimes it becomes necessary to correct an amount, change a vendor, update line items, duplicate or change the status of a purchase order. With inline editing, changes can be made directly from the Purchase Orders table without navigating away.

Steps to Edit a Purchase Order

A purchase order can be edited in two ways:

  • Inline edit: on the Purchase Orders table, click directly on a field, such as the Total Amount cell, to open it for editing. Each field on the table is editable in place.

  • Menu edit: click the three-dot action menu (⋮) at the start of the purchase order row, then select Edit from the menu.

Viewing and Downloading a Purchase Order

  • Open: click the three-dot action menu (⋮), then select Open to view the full record, including the GL entry and line items. Fields can also be edited directly from this view.

  • Download: from the Open view, click the Action dropdown at the top right, then select Download to save the document.

Managing Line Items

Click Manage items, accessible from the three-dot action menu, to add or remove items on a purchase order. The + button adds a new line item, and the - button removes an existing one.

Publishing and Reverting to Draft

  • Publish: for purchase orders currently showing a Draft status, click the three-dot action menu (⋮) and select Publish to move the purchase order out of draft.

  • Revert to draft: for published purchase orders, click the three-dot action menu (⋮) and select Revert to draft to transition the purchase order back to draft status.

Duplicating a Purchase Order

Click the three-dot action menu (⋮), then select Duplicate to instantly create a copy of the purchase order.

Deleting a Purchase Order

  • Single purchase order: click the three-dot action menu (⋮), then select Delete.

  • Multiple purchase orders: select the checkbox next to each purchase order to be deleted, then click the red Delete button at the top of the table. The button label indicates the total number of selected purchase orders.

Searching and Filtering Purchase Orders

  • Search: use the search field at the top left of the table to search for a specific purchase order.

  • Date range: filter results by a custom date range or a preset period such as year to date.

  • Status: filter by status, including Draft, Pending approval, Rejected, Approved, and Converted.

  • Branch: filter results by branch.
