The General Ledger provides a detailed history of all financial transactions affecting a specific account. Accessing this ledger lets you monitor the flow of debits and credits, verify balances, and gain insight into how your accounts change over time.
Steps to view the General Ledger for an Account:
There are two ways to get your General Ledger (GL): the whole GL for a period, or the GL for a specific account. Both methods let you generate a report — but they differ in how it's delivered.
Method 1: Export the Full GL (or a Specific Account) from Reports
Use this method if you want the complete GL for a period, or the GL for one specific account, sent to your email.
On the top navigation, click Reports.
From the dropdown, select General Ledger (or All Reports, then choose General Ledger).
You'll be redirected to the General Ledger table.
Click Export at the top right of the table. This opens the export modal.
Set your From Date and To Date to select the period you want.
Choose what to export:
Whole GL: Leave the Account field empty.
Specific account: Click the Account dropdown and select the account you want.
Click Generate Report.
Note: The generated report is sent to your email address, it is not downloaded directly.
Method 2: Export an Account's GL from Chart of Accounts
Use this method if you want to download a specific account's ledger immediately as a file, rather than have it emailed.
Go to Chart of Accounts and locate the account you want to review.
Open the account by either:
Clicking the three-dot menu on the far left of the account row and selecting Open, or
Clicking directly on the account name.
This opens the account's overview. Click the Ledger entries tab to view all journal entries linked to that account.
Use the date filter to narrow entries to a specific period. Preset options include:
Today
Custom range
2024 tax year
Year to date
Last half
Click Export to download the filtered ledger entries.
Note: Unlike Method 1, this export downloads immediately as an .xlsx file (it is not sent to your email), and only includes entries for the current page/account.
Columns in the General Ledger Table
The general ledger table includes the following columns to help you organize and track your records:

Date | The date the journal entry was recorded |
Title | The name or title of the journal entry or transaction |
Narration | Additional description or notes explaining the transaction |
Type | The type of journal entry (e.g., Payment, Sale, Purchase) |
Contact | The associated party involved (customer, vendor, etc.) |
Opening Balance | The account balance at the start of the selected period |
Credit | The amount credited to the account in that entry |
Debit | The amount debited from the account in that entry |
Closing Balance | The running balance of the account after the transaction |
