How to manually add an item to your inventory on Tyms web application

Here is a brief guide on how to manually add an item to your inventory.

Items are values you provide to meet customers' needs. They are of two types: products and services. Products are tangible items like bags, foodstuffs, jewelry, etc. while services are values provided by intangible skills like consulting, web design, barbing, dry cleaning, etc. You can add a new item or update the quantity in stock of a particular product.

Steps in adding an item manually to your inventory:

Step 1: Open the Add Inventory Item Form

  1. From the top navigation, click More.

  2. From the dropdown, hover over Inventory, then select Items from the flyout menu.

  3. On the Inventory page, click Create Inventory.

  4. From the dropdown, select Create Manually.

  5. A new Add Inventory Item form will open, starting with the document details section.

  6. Upload an Image (Optional): Tap the image placeholder to upload a picture of the item, if you have one.

Step 2: Set Raw Material Status

Under Raw material, select Yes or No from the dropdown:

  • Select Yes if the item will be used to produce a composite item.

  • Select No if it's already a finished good you're selling directly.

Step 3: Enter Basic Item Details

  • Item name* : name of the item

  • SKU* : unique product code

  • Unit : unit of measure (defaults to "unit")

  • Description : optional additional detail

Step 4: Enter Pricing and Accounts

  • Cost price* : what it costs you to buy or make the item

  • Selling price* : what you'll charge customers

  • Revenue account* : income account for sales (e.g. Sales revenue)

  • Cost of goods sold account* : default COGS account (e.g. Purchases)

  • Inventory account* : asset account that holds inventory value (e.g. Inventory)

  • Tax : applicable tax, if any

Step 5: Add Additional Details

  • Shelf life (days) : optional, if the item has a shelf life

  • Tags : optional, press Enter or comma to add a tag

Step 6: Set Opening Stock (Optional)

Check the box for Set opening stock if you want to add an opening stock balance for this item.

Note: Checking this box will create and publish a bill under Bills, and your stock will be updated right away.

If you enable this, fill in:

  • Opening stock date* : date the opening stock applies from

  • Opening stock price* : cost per unit for the opening stock

  • Opening stock quantity* : quantity on hand

  • Vendor : select the vendor the stock was purchased from

  • Branch* : select the branch the stock belongs to

  • Publish opening stock : checked by default; this posts the opening stock as a published bill

Step 7: Select Item Category

Under Item categories, select a category for the item (optional).

Step 8: Create the Item

Click Create when you're done. The item will be added to your records and appear in your Inventory items table.

Note: If no opening balance is set, the stock quantity will default to 0, and you will need to restock the item to have a stock balance.
